What is an AGM?
An AGM is an event for Members and others interested in our work to come and receive our Annual Report.
This report contains information about our activities and financial statements for the previous financial year.
The organisation’s rules and federal and state laws determine the meeting’s agenda.
In addition to presenting the Annual Report, the AGM is when VMIAC’s members elect (or vote for) an organisation’s governing body. At VMIAC, our governing body is called the Committee of Management (CoM).
A note-taker will record the AGM’s discussions and who passes motions in the minutes.
The minutes record the names of members present and any apologies shared by members who cannot attend.

Election
At the AGM this year, members will vote on vacant positions on the CoM. If you are an individual member of VMIAC, you can vote at the AGM. Please note that associate members cannot vote.
The following Committee of Management roles will be elected at this year’s AGM:
- Chair
- Vice Chair
- Secretary
- Treasurer
- Two ordinary members

Voting
There are two ways for members to vote at the AGM.
Option One
Register to attend the AGM. After doing this, you will receive a Zoom link for the event.
After logging onto the Zoom meeting, you will receive a link to a Jotform to participate in a ballot.
Only Individual Members who have registered to attend the AGM can attend and vote.
Option Two
If you are an Individual Member and wish to vote but can’t attend the AGM, you can nominate another member to vote for you. To do this, you need to appoint a proxy.
Under VMIAC’s Rules, Individual Members can nominate a proxy until 24 hours before the SGM or Annual General Meeting (AGM). Therefore, Members can appoint a proxy until 2.30 pm on Wednesday, December 4.
To nominate a proxy, please complete this link. If you don’t know another member to nominate, you can nominate Mel Sherrin, our secretary, and record this in the Jotform.

VMIAC is seeking nominations to the Committee of Management.

Please see the Call for Nominations for more guidance on nominating for a role. Nominations must be received by November 28.
Nominee Statements
Nominee statements will be available on the VMIAC website on the date of the AGM.
Other Business and Motions
At the AGM, there will be the opportunity to ask questions of the Chair and CEO and discuss the annual report and other matters relating to VMIAC, its governance, management and strategy. There will be the opportunity for informal questions and discussion, and if there are any significant items you wish to raise or discuss, please let us know so we can include them as other business.

- Registrations to attend the AGM must be received by 10.30 am on December 5
- Individual membership must be submitted by November 20 to vote in the AGM
- Nominations to join the CoM must be submitted by November 28
- Other business must be sent to the Secretary by November 28
